Privacy Policy

This policy explains what BookedBy9 ("we", "us") collects, why, and who sees it. It covers visitors to bookedby9.com, people who call our demo line, businesses that subscribe, and the customers who call those businesses' BookedBy9 lines.
What we collect
- From subscribers: your business name, contact name, email, phone number, service area, hours, and the calendar you connect. Payment details go directly to Stripe; we never see your card number.
- From callers to a BookedBy9 line, including the demo line: your phone number, the recording and transcript of the call, and the details you give the assistant such as your name, address, the work you need, and the appointment time you choose.
- From the website: standard server logs, the ad campaign tags in the link you arrived from (kept in your browser and passed to checkout so we can tell which ad worked), and the Meta pixel, described below.
The Meta pixel
This site uses the Meta pixel, a small piece of code from Meta Platforms, so we can measure our Facebook and Instagram ads. It tells Meta when someone views the page, taps the demo number, starts checkout, or reaches the page after payment. Meta may set cookies and may link these events to a Meta account under its own privacy policy. We use this only to measure and improve our ads. You can limit it with your browser's tracking protection, by blocking third party cookies, or in your Meta ad settings.
Call recording
Calls to BookedBy9 lines are recorded and transcribed so the business can review what was said. Every call opens with a notice that the caller is speaking with an automated assistant and that the call is recorded. If you do not want to be recorded, hang up before continuing.
Text messages
Where texting is enabled on a line, the assistant may offer to text a confirmation to the caller. We send a text only when the caller says yes on the call. Confirmations contain the appointment details and the business name. Reply STOP to any message to stop receiving texts, or HELP for help. Message and data rates may apply. We do not send marketing texts to a business's customers, and we do not sell or share phone numbers for marketing.
How we use information
To answer calls, book appointments, send confirmations, email job details to the subscribing business, bill subscribers, measure our ads, and keep the service working. We do not sell personal information.
Who else sees it
We rely on service providers to run BookedBy9, and they process data only on our instructions: Retell AI and Twilio for calls and texts, Stripe for payments, Nylas for calendar connections, Vercel for hosting, Meta for ad measurement, and an email delivery provider for notifications. Caller details are shared with the business whose line was called, because that is the point of the service.
How long we keep it
Call recordings and transcripts are kept for 90 days and then deleted, unless the subscribing business asks us to keep them longer. Subscriber account details are kept while the subscription is active and for 12 months after it ends for tax and accounting purposes.
Your choices
You can ask us what we hold about you, ask us to correct it, or ask us to delete it, by emailing hello@bookedby9.com. Subscribers can cancel at any time from the manage link in their Stripe receipt.
Children
BookedBy9 is a business service and is not directed at anyone under 18.
Changes
If we change this policy in a way that matters we will post the new version here with a new effective date, and email subscribers.
